Privacy notice for Flowcess testers
This notice explains what information we collect while you test the Flowcess prototype, why we collect it and what happens to it. Flowcess is run by [COMPANY NAME] ("we"), [REGISTERED ADDRESS]. If you have any questions, contact us at [CONTACT EMAIL].
What we collect
- Your name and access code, which we gave you to sign in.
- Feedback you send with the "Give feedback" button, together with the name of the process and step you were looking at.
- Text you send to the AI features ("Describe it to AI" and "Improve wording with AI").
- Basic technical information such as your IP address, browser type and the pages you visit, recorded by our hosting provider for security and to keep the site working.
The processes you build are saved only in your own web browser. We cannot see them unless you include them in feedback or send them to an AI feature.
Please don't enter personal data
Use realistic processes, but please don't type in real people's names, contact details or other personal information. Made-up names are fine.
Why we use it
We use this information to run the test, understand how well the prototype works and decide what to build. Our lawful basis is our legitimate interest in developing and improving the product, and you take part voluntarily.
Who else handles it
- Cloudflare hosts the site and stores your feedback.
- Anthropic provides the AI. Text you send to an AI feature is passed to Anthropic's Claude API to produce a response.
These providers may process data outside the UK. Where they do, they use safeguards recognised under UK data protection law. [CHECK AND CONFIRM THE TRANSFER MECHANISMS IN EACH PROVIDER'S DATA PROCESSING TERMS.]
How long we keep it
We keep feedback and sign-in records until the end of the testing programme, and delete them within [NUMBER] months of it ending. AI requests are not stored by Flowcess; Anthropic's own retention is set out in its commercial terms.
Your rights
You can ask to see, correct or delete the information we hold about you, or object to how we use it, by contacting [CONTACT EMAIL]. You can stop taking part at any time. If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
